Summary: 
The Administrative Assistant plays an integral role in supporting the success of the company by providing a variety of high-quality administrative support in a fast-paced environment. A successful candidate will possess strong interpersonal and critical thinking skills and will be able to perform multiple tasks under deadline pressure. An advanced proficiency level of administrative skills including communication and computing is required. 

Duties and Responsibilities: 

  • Provide administrative support to Office Support Staff, Supervisors, and clients as directed. 

  • Coordinate and attend meetings and conferences. 

  • Handle sensitive/confidential information requiring a high level of discretion. 

  • Develop a good working relationship with all levels of staff in all departments. 

  • Cultivate relationships and maintain contact with clients and/or customers. 

  • Prepare requisitions for specific office purchases with appropriate authorization and arrange for payment. 

  • Make time and expense entries accurately in a timely manner. 

  • Manage multiple relationships both internally and externally with clients and/or customers. 

  • Maintain and update electronic files within various software/application systems. 

  • Compose business correspondence and prepare professional business communication documents including memos, letters, invoices, and emails. 

  • Handle all incoming calls proficiently and follow through with issues raised with appropriate parties. 

 
Qualifications/Education & Experience: 

  • College Degree preferred; high school diploma required at minimum. 

  • Minimum of 3 years of relevant experience. 

  • Professional demeanor. 

  • Organized, detail-oriented, effective time management skills, assertive, and collaborative in nature. 

  • Excellent computer skills - MS Office or 365  

  • Excellent communication skills - spelling, grammar, and proofreading. 

  • Exceptional interpersonal skills - positive/friendly demeanor, attentive listener. 

  • Ability to exercise good judgment/decision making when necessary.
